AI for Documents and Office Work - Less Manual Work, Faster Information Flow

You stop searching through folders and asking a colleague who “had it somewhere.” You ask in plain language, and the answer comes with a reference to the document it came from.

Problem

Time disappears in two places

In companies that work intensively with documents, time disappears in two places. On top of that comes chaos in mailboxes: documents arrive by email, some get stuck in private folders, some get lost in threads.

1

Searching

The answer exists, but in a contract from years ago, in a quality procedure, in meeting minutes, in an email nobody remembers anymore. Only nobody knows where. So the employee asks someone who “recalls something,” or digs through folders for half an hour.

2

Retyping

The same data travels from document to spreadsheet, from spreadsheet to system, from system to email. With each retyping the risk of error grows, and with each missing document the case stalls, often without anyone knowing.

Who this is for

Anywhere there are already too many documents for everyone to know where everything is

Companies pass this point unnoticed: a year ago it was enough to ask one person, now nobody has the full picture, and answers have to be searched for in several places at once.

Documents
Types of documents the solution works with
  • Invoices and financial documents
  • Contracts and annexes
  • Orders and confirmations
  • Business correspondence
  • Minutes and meeting notes
  • Technical documentation
  • Procedures and instructions
  • HR documents

What the solution does

Two things, clearly separated

Available today

  • Documents become a knowledge base you can ask questions We load your documents and build a knowledge base from them. The employee asks in plain language and gets an answer along with a reference to the document it comes from.

Dedicated implementation

  • Document workflow and handoff to systems Reading data from the document, recognizing its type, checking completeness and creating a task in your system. This is a project delivered for a specific process.

Search in documentation

The most common use case and the fastest effect

1

We load the documents

One at a time or in whole batches.

2

The employee asks in plain language

No need to know the file name or the folder structure.

3

The assistant answers, pointing to the source

The specific document and the location the answer comes from.

4

If the answer is not in the documents

It says so directly, instead of guessing.

Supported formats

PDF, Word (DOC, DOCX), Excel (XLS, XLSX), text files (TXT, MD). Multiple files at once.

Knowledge sources

Additionally, the knowledge source can include content from your website, WordPress, and entries added manually in the panel.

Rules for employee verification

You verify the set of documents, not individual answers

You decide what goes into the knowledge base, and the assistant does not go beyond it. It’s worth understanding this difference before implementation.

  • Only current versions go into the knowledge base. Organizing versions is part of the implementation, not an add-on.
  • Every answer points to a source. The employee has something to verify it with in two seconds.
  • Documents are binding. The answer is a reference to a place in the document, not an interpretation. The decision stays with the responsible person.

Data security

Documents are usually the most sensitive set of data in a company

Contracts, financial data, HR documentation. That’s why with this solution, security is the first consideration, not the last.

1

Your sources

The assistant does not reach into the internet or other sources.

2

Separation

Each client's data is separated.

3

Local model

Document content does not go out to an external model provider.

4

Locally at your premises

Documents do not leave your network.

The local variant in practice

An implementation where the model runs exclusively at the client's premises

The most common concern with this solution is: “will our documents leave the premises?” We already have experience with projects where the AI model runs exclusively on the client’s local infrastructure, and the data does not leave the internal environment.

We built a media repository with automatic captions for a university. Lecture recordings get automatic captions in Polish, and the transcription model runs entirely on the university’s infrastructure. No material leaves its servers.

~2400
students covered by the system
100%
local, no upload to the cloud
PL
captions generated automatically
WCAG 2.1
accessibility compliance

This implementation involves audio and video material, not text documents, but we cite it as evidence that we can run a model entirely within the client’s environment and process its materials there without sending anything outside. The same architecture underlies the local variant described above.

Dedicated implementation

So that a document is not just findable, but goes through the process itself

Some companies need more than access to knowledge: they need the document to be recognized, checked for completeness, and passed on to the right person and system. This is a separate solution, designed for a specific process. Scope and pricing are determined after analysis.

What such an implementation includes

  • Reading the document and extracting key data
  • Recognizing the type and assigning it to a case, client or process
  • Checking completeness and flagging gaps
  • Creating a task in the system you work in
  • Activity history, meaning what happened to the document and when

Our approach

  • Audit of one document process
  • Pilot on a subset, e.g. one document type or one department
  • Integration with the system you use to manage cases
  • Measurement and decision on expansion

The same rule applies at every stage: data extracted from a document is approved by an employee before it enters the system. The solution prepares the work; the decision and responsibility stay with the team.

We base this on integration projects delivered in ERP, CRM and document workflow systems.

Results
What this leads to
  • Less searching
An answer from the document instead of digging through folders.
  • Knowledge stays
What one person knew is available to the team.
  • Fewer errors
In the part covered by the workflow implementation, data does not travel manually.
  • Gaps become visible
Unanswered questions point to procedures that don't exist.
What we measure
  • Search time
How long it takes to find an answer today, and how long after implementation.
  • Self-sufficiency
How many times an employee did not have to ask anyone.
  • Knowledge gaps
Unanswered questions, a list that shrinks as things get organized.
  • Holds
Cases held up due to gaps, a metric for the workflow part.
Pilot

We start with an audit of one process

We check what documents circulate, in what form, along what path, and where they get stuck. Based on this we propose the scope of the pilot. It’s usually one document type or one department, with success criteria set in advance.

The most common finding of the audit: some of the answers the team gives from memory do not exist anywhere in written form.

Order a document workflow audit

We will check where in your process the most time disappears.
