AI Assistant for Sales - no interested visitor leaves without being contacted

Your salesperson gets the lead together with the question the customer asked. So they know the context before the first call, instead of dialing in blind. Meanwhile, a customer who lands on the site at 10 PM gets an answer right away, not the next day.

Problem

Lost time, lost customer

Repetitive questions eat up your salespeople's time

Scope of services, terms, differences between plans – the same questions keep coming back endlessly. Salespeople answer them for the hundredth time instead of handling conversations that actually need their expertise.

A question asked at 10 PM disappears without a trace

A customer who doesn’t get an answer in the evening usually doesn’t come back the next day – they simply ask somewhere else. You won’t see this in any report, because that contact never happened in the first place.

Solution

It answers only from what you approve

The assistant, embedded on your site, answers questions about your offer based solely on a knowledge base you’ve approved. It doesn’t make things up or improvise. When a question falls outside that knowledge, it says so directly and offers to connect the person with your team, instead of misleading the customer.

The contact collected is sent to your team and to your CRM, together with the question it was about.

Who it's for

B2B companies

Services, distribution, manufacturing, IT. The solution is industry-agnostic and isn’t tied to a specific sector or company size.

There’s no minimum sales team size. The assistant makes sense whether you have one salesperson or a dozen.

How does it work?

1

Customer asks a question

About the scope of a service, terms, or differences between plans.

2

The assistant answers

Immediately, from your knowledge base, pointing to the source.

3

No answer = a form

It says plainly that it doesn't know, and opens a contact form.

4

Lead reaches the salesperson

By email and into your CRM, together with the content of the question.

Along the way, in the background

You get a ready-made list of gaps to fill in your knowledge base, plus a picture of what customers ask most often. This happens alongside everything above, in every conversation.

Knowledge and leads

Where the assistant gets its knowledge from

It draws on materials you already have:

  • Documents: PDF, Word, Excel, text files
  • Content from your website and WordPress
  • Entries added manually in the panel

Leads go where your team actually works:

  • By email to a person you designate (no CRM doesn't block anything)
  • To any CRM via webhook (Zapier, Make, n8n)
  • Into the panel, with delivery status and follow-up history
Limits of responsibility

What the assistant doesn’t do

  • It doesn’t set or negotiate prices or commercial terms.
  • It doesn’t send quotes – preparing and sending a quote stays with the salesperson.
  • It doesn’t make commitments on the company’s behalf.
  • It doesn’t guess. When it doesn’t know an answer, it says so and hands the matter to a person.

Human control

Control sits with the knowledge, not with individual messages. You decide which materials the assistant can draw on, and it doesn’t go beyond them. Chat replies go to the customer immediately, without a human in between – because that’s exactly where the value is: the customer gets an answer in seconds, not hours.

Anything that would go to a customer on behalf of a salesperson – for example, a follow-up message referencing an earlier conversation – always requires human approval.

The assistant acts on its own in:

  • Answering questions from the approved knowledge base
  • Capturing contact details when it doesn't know the answer

You decide on:

  • Which materials the assistant can use
  • Any outgoing correspondence sent on a salesperson's behalf
  • Prices, terms, and the final offer

Responsibility

Security and data

Each customer’s data is kept separate. The form requires consent for data processing. You have visibility into unanswered questions, usage statistics, and the status of every lead.

Cloud variant

  • The default way of running it, with the lowest barrier to entry.

Local model

  • Content doesn't leave to an external language model provider.

Deployment on your infrastructure

  • Everything runs within your company's own environment.

Effects

What results from this

The assistant doesn’t speed up sales by writing faster than a human. It does three concrete things:

Closes the time gap

  • A question asked on Sunday evening gets an answer on Sunday evening.

Turns a question into a contact

  • An interested visitor leaves their details instead of quietly walking away.

Gives the salesperson context

  • The lead arrives with the content of the question, so the conversation starts from something concrete.

What we measure

We agree on this before launch, not after the fact

We won’t quote someone else’s results here, because they wouldn’t mean anything for your site. Instead, we agree on exactly what to count, and you see it in the panel from day one.

1

Captured contacts

How many inquiries turned into a lead that would previously have simply disappeared.

2

Conversations handled without a human

How many questions the assistant closed on its own, without involving a salesperson.

3

Time to first response

Compared with how long it currently takes your team.

4

Unanswered questions

A signal of what's missing from the knowledge base. Should decrease as the base is filled in.

Distribution of inquiries over time

You also see the distribution of inquiries over time: how many questions come in outside business hours - in other words, how many contacts you were already losing from the start. We set the baseline together, so it's clear after the pilot what actually changed.

Example use case

Model example - first deployment

A B2B service company with an extensive offer and several partnership plans. Salespeople got the same questions every day: what’s the difference between plans, what’s included in scope, what the implementation process looks like. Some inquiries came in the evenings and on weekends. The answer went out on Monday, and some customers no longer replied.

After deployment, the assistant answers these questions from service descriptions and the FAQ, and when someone asks about pricing for a specific case, it says it can’t calculate that and opens the form. The salesperson receives the contact together with the pricing question, so the first conversation starts from something concrete.

The log of unanswered questions also showed, along the way, that customers were massively asking about something that hadn’t been described in the offer at all.

Pilot and implementation

We start with a limited scope

First we check the effect on your traffic, and only then expand the solution.

1

Review of materials

We check what knowledge about your offer already exists, and in what form.

2

Setting up the knowledge base

We load in documents and website content, and fill in the gaps.

3

Embedding the assistant

A widget matched visually to your site.

4

Refining the answers

We go through representative questions and check accuracy.

What you get at the end

A working assistant built on your own knowledge base, data from real traffic against the metrics agreed at the start, and a list of questions that had no answer. Based on that, you decide whether and how to expand the solution.

Customization

Expansion within the implementation project

The following capabilities are added on as part of the implementation project, tailored to your processes:

  • Needs qualification in conversation – the assistant asks follow-up questions about scope, needs, and budget instead of just answering questions, and steers the conversation toward the right service.
  • Reminders for leads without a reply – the system detects contacts that no one has replied to after an agreed number of days and drafts a follow-up message. The draft goes into a queue for approval, and once the salesperson approves it, it’s sent – the contact is logged in the CRM.
  • Native CRM integration and an email channel, where the assistant answers incoming email inquiries using the same knowledge base.
