AI Assistant for Customer Service - shorter response time, better organized inquiries

Your team stops answering the same questions for the hundredth time. Fewer cases reach the queue, and the ones that do arrive already with a description of the problem.

Problem

The problem isn’t difficult cases, it’s their volume

Dozens of inquiries a day, most about the same things: availability, terms, scope of service, reporting procedure. Consultants keep retyping the same answers instead of handling complaints and cases that require a decision.

Urgent matters sit in the same queue as “where can I find the terms and conditions.”

Typical questions and inquiries

When it works

The assistant handles questions for which an answer exists in your materials. What it can’t handle on its own, it passes to a person.

This division is the essence of the solution: only what genuinely needs a person reaches the consultant.

The assistant handles on its own

  • Scope and terms - what's included in the service, how variants differ
  • Availability and deadlines - how long fulfillment takes, how the order of work looks
  • Procedures and formalities - what documents are needed, how to report a case
  • "Where do I find this" - pointing to the price list, terms, the form

It passes to a person

  • Quoting a specific case
  • A complaint, a dispute, a situation requiring judgment
  • Anything not in the approved knowledge base

Instead of guessing, it admits it doesn’t know the answer, because that’s how it’s designed. It then opens the contact form.

How it works

Fewer cases reach the team - and better described ones

The consultant doesn’t start by figuring out what the problem is. The inquiry arrives with the content of the question the customer asked, not just a “please contact me.”

1

The customer asks a question

In the chat window on your site, at any time.

2

The assistant answers immediately

It searches the company's knowledge base (offer, FAQ, documents, website content) and indicates the source.

3

No answer in the knowledge base

It says so directly and opens a contact form with consent for contact.

4

The inquiry reaches the team

By email and into the system you work in, along with the customer's question. The consultant knows what it's about before starting to reply.

Better organized inquiries

It's not just the timing that changes, but what reaches the team

It’s not only that the customer gets an answer faster. What reaches the team, and how, also changes:

  • The queue is shorter Questions with an answer in the knowledge base never reach the consultant at all. The team gets a smaller but harder set of cases.
  • Inquiry with context The team receives the content of the customer's question, not just "please contact me." The consultant knows what it's about before starting to reply.
  • You see what people are asking Questions without an answer are logged and grouped by recurring topics. You get a list of gaps in your materials.

Knowledge base and inquiries

Where the assistant gets its knowledge from, and where inquiries go

Where it gets its knowledge from

  • From materials you already have
  • Documents, website content, WordPress, and entries added manually in the panel. Many files can be loaded at once.
  • PDF, Word, Excel, TXT files
  • Website or WordPress content

Where inquiries go

  • Where your team works
  • By email to a designated person (no CRM doesn't block anything)
  • To any CRM via webhook (Zapier, Make, n8n)
  • To the panel, with a delivery status for each inquiry
Human control

Control lies at the level of knowledge, not a single message

You decide which materials the assistant can use – it doesn’t go beyond that. Answers go to the customer immediately, with no intermediary, and that’s exactly where the value lies: the customer gets an answer in seconds, not hours. The panel shows what customers are asking and what was missing from the knowledge base.

Security

Data security

Always

  • The assistant uses only the company's approved materials
  • The contact form requires consent for data processing
  • Each customer's data is kept separate

For sensitive applications

  • Local model Content doesn't go out to an external model provider
  • Deployment at your premises Everything runs in your company's infrastructure
Results
What this leads to
  • Shorter response time
The customer doesn't wait in a queue behind other inquiries.
  • After-hours service
    A Friday-evening question doesn't wait until Monday.
  • Fewer cases in the queue
The team deals with what genuinely needs a person.
  • Inquiries with context
The consultant doesn't start by figuring out what the problem is.

Example implementation

Voice assistant for customer service

For a transport company, we launched a voice variant of this solution on the customer-service hotline. The assistant answers calls on the existing number and responds to questions about routes, schedules, and luggage based on data from the company’s booking system, not from memory. When a matter falls outside its scope, it transfers the call to a consultant or logs a callback request; every call is recorded for the team. As with the chat version, the boundaries are set in advance: the assistant doesn’t take payments or change bookings by phone, and decisions about refunds remain with the team.

What we measure

We agree on this before launch, not after the fact

We don’t quote other companies’ results, because they wouldn’t mean anything for your queue. Instead, we agree on what to measure, and you see it in the panel from day one.

1

Questions resolved without a consultant

How many conversations the assistant closed on its own.

2

First response time

Comparable to how long it currently takes your team.

3

Inquiries in the queue

How many fewer cases reach the team.

4

Unanswered questions

Grouped by topic, according to what's missing from the knowledge base.

Distribution of inquiries over time

How many cases used to wait until the next business day.

Individual approach

Expansion within the implementation

  • Email channel – the assistant receives inquiries by mail, answers from the same knowledge base, and continues the correspondence in-thread.
  • Native CRM integration – inquiries reach the CRM without a webhook intermediary.
Dedicated implementation

Need an assistant working inside the customer service team?

Some solutions describe an assistant that talks with your customer. It stands in front of the team and relieves it of questions that don’t require a person.

Some companies need something different: a solution working behind the team, inside the ticket queue.

Check your processes
  • What such a solution does
    • Organizes incoming inquiries
    • Identifies which cases are urgent
    • Prepares a draft reply for the consultant
    • Routes the inquiry to the right person or system
  • How we approach it
    1. Audit of one service process
    2. Pilot on a segment, with success criteria
    3. Integration with your systems
    4. Measurement and a decision on expansion

This is a solution we design around your team’s structure, systems, and way of handling inquiries. Scope and pricing after process analysis.

At every stage the same rule applies: a reply goes out to the customer only after a consultant approves it. The solution prepares the work; the decision and responsibility remain with the team.

We build this on integration and automation projects delivered in CRM, ERP, and ticketing systems.
